Short answer

Create a separate delivery folder, write down the recipient’s format and size requirements, and prepare only the files they need. Inspect the final exported files for readability, private information, and compatibility. NeatClick can automate individual preparation steps, but the review applies whichever tools you use.

Build a delivery folder you can verify

  1. 1

    Write down the receiving rules

Record accepted formats, maximum size per file and in total, required pages or dimensions, and whether encrypted files are allowed. Ask for missing requirements before choosing export settings.

  2. 2

    Copy only the required material

Create a folder such as project-delivery and place copies in it. Remove drafts and unrelated items. Use descriptive, portable filenames such as invoice-2026-09.pdf instead of names containing a client’s private details.

  3. 3

    Convert and reduce as needed

Use JPEG for a photo when the destination requires it, PDF for a document package, and the requested media format for video. First make the package complete; then reduce it to the actual size limit.

  4. 4

    Review the final versions

Open files from the delivery folder after all conversions and cleanup. Check page order, readable text, playback, filenames, and file sizes. Check the exported copies, since conversion can introduce problems that were not in the originals.

Example: photos and a report for a client portal

Suppose the portal accepts JPG and PDF, each below 5 MB. Convert the selected HEIC photos with Finder’s Convert Image action and export or combine the report as a PDF. Inspect these copies, then reduce only files that exceed the limit.

Remove location from the photos if the client does not need it. Check the report for comments, visible names, and pages that should not be included. Upload the finished files from the delivery folder and verify the portal’s preview or download when one is available. This example uses hypothetical portal requirements.

Choose a tool for each job

  • Photo conversion: Finder → Quick Actions → Convert Image is enough for ordinary HEIC-to-JPEG jobs.
  • Specific file-size limit: NeatClick → Make Under checks supported images, PDFs, or media against a target. Inspect the result for quality and any required dimensions.
  • Location cleanup: NeatClick → Remove Location Only targets photo GPS data. Strip Metadata provides broader cleanup of supported images.
  • Document assembly: Preview gives you visual page arrangement; NeatClick → Combine PDFs… or Combine into PDF… creates a package from a Finder selection.
  • Password protection: use an encrypted archive only if the destination accepts it and the recipient can extract it. Send the password separately.

What changes when you sanitize a PDF

NeatClick’s Sanitize PDF renders visible pages into a new document, removing hidden text and interactive content. Visible annotations remain part of the rendered page. Text is no longer selectable, so do not use it when a portal requires searchable text or working form fields.

Sanitizing does not redact a visible address or account number. Drawing a shape over sensitive text is not a reliable substitute for proper redaction. Use a PDF tool with a proper redaction feature, then check the saved copy.

Check more than metadata

For photos, inspect reflections, labels, faces, and background screens. For video, listen for private conversations as well as checking frames. For documents, check filenames, comments, attachments, and visible content relevant to the delivery.

Use the final format in an app like the recipient’s where practical. For an archive, extract into an empty folder and open the contents. If a link requires an account or permission, check the sharing settings before delivering it.

Keep originals separate from sharing copies

Keep the original material separately so a rejected export can be rebuilt. Local conversion avoids sending the input to a conversion service, but saving to an iCloud or another synced folder can still upload it through that service. Choose the storage location to match the project’s requirements.

When a delivery fails, use its specific error to choose the next change: convert an unsupported format, compress a file that is too large, or use a higher-quality export if the result is hard to read. Repeating every cleanup step makes the result harder to diagnose.

Frequently asked questions

Does removing metadata make a file anonymous?

No. Names, visible content, document text, faces, voices, and contextual clues can still identify people.

Should I replace the original after cleanup?

Usually not. Keep a private original and generate a purpose-specific sharing copy.
